These terms apply to all freelance technical, crew and event support work booked through Bright Spark Lighting Ltd.
By confirming a booking, issuing a purchase order, accepting a quote, or requesting attendance on site, you agree to these terms.
1. Booking
A booking is considered confirmed once it has been agreed in writing by email, text message, WhatsApp or other written communication.
Confirmed bookings reserve Bright Spark Lighting Ltd’s time and may prevent acceptance of other work.
2. Rates
The standard day rate is £300 for up to 10 hours.
Any time worked beyond 10 hours in a single day will be charged at 1.5 × the day rate.
There are no hourly rates or fixed event fees unless explicitly agreed in writing prior to the booking.
3. Travel and Expenses
Travel is not included unless otherwise stated in writing.
Travel will be charged as follows:
Mileage at £0.55 per mile, or
Public transport costs (including reasonable booking fees) added to the invoice.
Parking, tolls, accommodation, or other agreed expenses will be recharged at cost where applicable.
4. Cancellation by the Client
Because Bright Spark Lighting Ltd reserves time specifically for your event, the following cancellation charges apply to confirmed bookings:

| 7 days to 72 hours | 25% of the agreed fee |
| Less than 72 hours | 50% of the agreed fee |
| Less than 24 hours | 100% of the agreed fee |
Any non-refundable expenses already incurred, including accommodation, travel or specialist hire, will also be payable.
If an event is postponed rather than cancelled, Bright Spark Lighting Ltd will make reasonable efforts to move the booking to the new date, subject to availability.
5. Delays and Overruns
If the event starts late, finishes late, or is delayed for reasons outside Bright Spark Lighting Ltd’s control, additional time worked will be charged accordingly.
6. Venue and Working Conditions
The client is responsible for providing:
- safe access to the venue,
- a safe working environment,
- suitable power and facilities where required,
- reasonable welfare facilities for crew.
Bright Spark Lighting Ltd may refuse to work where conditions are unsafe or where there is a serious risk to health and safety.
7. Equipment
Any equipment supplied by Bright Spark Lighting Ltd remains its property unless sold separately.
The client is responsible for loss or damage caused by negligence, misuse, theft or unauthorised interference while the equipment is under their control.
8. Invoicing
Invoices are issued following completion of the booking unless otherwise agreed.
Standard payment terms are 30 days from the invoice date.
9. Late Payment
If an invoice is not paid by the due date, Bright Spark Lighting Ltd reserves the right to charge:
- statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998, and
- a £40 administration fee.
The £40 administration fee becomes payable once:
- the invoice is more than 10 days overdue, and
- at least one payment reminder has been issued.
Reasonable debt recovery costs may also be claimed where necessary.
10. Photography and Publicity
Unless otherwise requested before the event, Bright Spark Lighting Ltd may take photographs of technical setups, equipment and production environments for portfolio or promotional purposes. No confidential client information will be intentionally disclosed.
11. Liability
Bright Spark Lighting Ltd will use reasonable skill and care in providing services.
Total liability for any claim arising from a booking will not exceed the total fee paid for that booking.
Bright Spark Lighting Ltd is not liable for indirect losses, loss of profit, loss of business, loss of reputation, or losses caused by venue issues, third-party suppliers, power failure, or circumstances outside reasonable control.
Nothing in these terms limits liability for death or personal injury caused by negligence or any liability that cannot legally be excluded.
12. Force Majeure
Bright Spark Lighting Ltd will not be liable for delay or failure to attend where this is caused by circumstances beyond reasonable control, including severe weather, venue closure, transport disruption, illness, accident, government restrictions, or other emergency events.
13. Governing Law
These terms are governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
